Privacy Policy

This Privacy Policy explains what information is collected when you visit the Clinovia website or complete the appointment request form, why it is used, and the rights you hold over your data.

1. What Data We Collect

The appointment request form on this site collects your name, phone number, the subject you want to discuss and your preferred consultation language. In addition, you may optionally write a short note in a free-text field. You decide how much to share there, and the site creates no account or user profile stored on our servers.

The website is published as static pages, so when you submit the form your details are not saved to a database on our own servers; instead your request is delivered to us directly through WhatsApp. Technical access logs kept by our hosting provider, such as IP address, date and browser information, may be retained for a limited period solely for security and system operation.

2. Why We Process Your Data and the Legal Basis

We use the contact details and subject you provide to review your appointment request, to reach you by phone or WhatsApp, to arrange a suitable consultation time and to answer your questions. Any note you enter in the free-text field is used only to understand your request correctly and to guide you to the right department. We never sell this information to third parties for marketing.

The legal basis for processing this data is that handling it is necessary so we can contact you after you submit a request, together with the consent you give before sending. If you share any information about your health in the free-text field, that special-category data is processed only within the scope of your explicit consent. You may withdraw your consent at any time and ask us to delete your request.

3. Transmission via WhatsApp and Third Parties

When you submit the appointment request form, the information you entered is turned into a message and sent to our clinic through the WhatsApp application. Submitting the form therefore means that the details you entered will be transferred over WhatsApp’s infrastructure. WhatsApp is an independent service provider operating under Meta, and it processes your data under its own privacy policy and terms of use.

Because WhatsApp’s servers are located abroad, this transmission may also result in your data being transferred outside Türkiye. If you prefer to contact us by phone, no transfer over WhatsApp takes place. After you send your request, we do not share your information with any marketing network or advertising provider beyond that WhatsApp exchange; we use it only with the people needed to provide the health service.

4. Cookies and Browser Storage

Our website currently sets no advertising or marketing cookies and uses no third-party tracking cookies to follow visitors. To make the site work, only functional browser session storage (sessionStorage) is used. This storage remembers simple interface states and holds no information intended to build an advertising profile of you or to identify you across other websites.

For example, when you close an informational pop-up, that choice is stored temporarily in your browser so it is not shown again during the same session; a temporary marker is also added to the page body while full-screen views such as pop-ups and galleries are open. This data is deleted when you close the tab, is not sent to us, and is not used to identify you personally.

5. How Long We Keep Your Data

Messages relating to the appointment request you send through WhatsApp are kept for as long as they are needed to review your request and arrange a possible consultation. Once your request has been concluded and our communication with you is complete, those messages are deleted or made inaccessible in a secure manner within a reasonable time, unless a legal retention obligation applies.

If your enquiry leads to an examination or treatment, the health records created in that context are subject to the statutory retention periods set out in the relevant health legislation. These periods are separate from the request messages you send through the website. Data whose retention period has expired is deleted, destroyed or anonymised in line with the applicable legislation.

6. Data Security

We apply reasonable technical and administrative measures to protect your personal data against unauthorised access, loss or unlawful processing. The website is served over a secure connection (HTTPS), and your request details can be accessed only by authorised staff involved in planning the health service. Access is kept limited to the relevant people and to the purpose for which it is needed.

That said, please remember that part of your information is transmitted through a third-party application such as WhatsApp, and that no transmission over the internet can be guaranteed to be completely secure. For this reason we recommend sharing detailed information about your health not at first contact but preferably during the examination. In the event of a security breach, we make the notifications required by law.

7. Your Rights and How to Reach Us

You have the right to access your personal data, to have it corrected, deleted or its processing restricted, and to withdraw any consent you have given. To exercise these rights or to ask about our privacy practices, you can reach the clinic by written application or through the email and phone number shown on this website. Your requests are answered within a reasonable time.
